Privacy Policy

Last updated: September 4, 2026

This Privacy Policy explains how Leadsmatic (“Leadsmatic,” “we,” “us”) handles personal information in connection with Reactivate (the “Service”). It covers both the information we handle as a business (about our account holders) and the caller information we process on behalf of our customers.

1. Who is responsible for your data

For information about account holders (the businesses that sign up), Leadsmatic is the data controller. For the caller data that a customer's agent collects during phone calls, the customer (the business) is the controller and Leadsmatic acts as a processor, handling that data only to provide the Service under the customer's instructions.

2. Information we collect

Information you provide

  • Account details such as your name, email address, business name, and password.
  • Business content, including the website URL you submit and the information your agent uses to answer callers.
  • Billing information, which is processed by our payment provider (Stripe); we do not store full card numbers.

Call and usage data

  • Call metadata (times, durations, phone numbers, outcome), call audio recordings where enabled, and transcripts generated from calls.
  • Caller-provided details such as name, contact number, reason for calling, and appointment information.
  • Product usage, log, and device data collected automatically when you use the dashboard (such as IP address and browser type).

3. How we use information

  • To provide, operate, and improve the Service.
  • To build and run your voice agent — including answering calls, qualifying leads, booking appointments, and sending follow-ups.
  • To process payments and manage your subscription.
  • To provide support, communicate about your account, and send service-related notices.
  • To secure the Service, prevent abuse, and comply with legal obligations.

We do not sell personal information. We do not use your caller data to train models for other customers.

4. Service providers we share with

We share information with vetted providers strictly to run the Service, including:

  • Telephony and AI voice providers — to place and handle calls and generate speech and transcripts.
  • Calendar providers (such as Cal.com and Google Calendar) — to check availability and book appointments.
  • Cloud, database, and hosting providers (such as Supabase) — to store and serve your data.
  • Email delivery — to send confirmations, invites, and notifications.
  • Payment processing (Stripe) — to handle billing.

These providers may only use the information to perform services for us. We may also disclose information if required by law or to protect our rights and users.

5. Call recording and consent

Where call recording or transcription is enabled, our customers are responsible for providing any legally required disclosures to callers and for obtaining consent. If you are a caller and have questions about a specific business's use of Reactivate, please contact that business, which controls its own caller data.

6. Data retention

We retain account information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Call recordings and transcripts are retained according to your settings and our standard retention periods, after which they are deleted or anonymized. You can request deletion of your data as described below.

7. Security

We use technical and organizational measures to protect personal information, including encryption in transit, access controls, and row-level data isolation between accounts. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights for account data, contact us at contact@leadsmatic.com. For caller data held on a customer's behalf, we will refer your request to the relevant business.

9. International transfers

We and our providers may process information in countries other than your own. Where required, we rely on appropriate safeguards for such transfers.

10. Children's privacy

The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will update the date above and, where appropriate, provide additional notice. Continued use of the Service after changes take effect means you accept the updated policy.
